Client

Our client is a leading U.S. corporation that holds a dominant position in retail and distribution across North America. With an extensive network of subsidiaries and operations spanning all key states, the client generated vast volumes of financial data daily. Managing this data flow and extracting up-to-date information for strategic decision-making in the dynamic U.S. market was a critical yet highly complex task.

Challenge

The client's finance department faced significant challenges in obtaining real-time and comprehensive financial data:

  • Lack of real-time visibility:
Despite having a powerful ERP system, getting up-to-date data on profit, revenue, expenses, or cash flow took hours, often even days. Reports were generated manually or by using outdated templates, which hindered timely decision-making.
  • Reliance on IT and analysts:
Generating any customized or in-depth financial report required requests to the IT department or specialized analysts. This created a bottleneck, increased staff workload, and delayed information retrieval.
  • Complexity of data consolidation:
Disparate data sources and differing reporting structures in regional divisions made consolidating financial metrics laborious and error-prone.
  • Ineffective key metric analysis:
The absence of an interactive, intuitive tool for quickly analyzing trends, comparing budgets to actuals, and drilling down into data hindered proactive financial planning and control.
  • Impact on strategic planning:
Decisions regarding new investments, cost optimization, or restructuring were often based on outdated data, increasing risks and reducing forecast accuracy.

Solution

LeverX transformed the client's financial operations by enabling and configuring SAP Joule, an innovative AI-powered digital assistant that delivered instant, intuitive access to critical financial data. Joule operates with deep integration to the client's core SAP S/4HANA system, as well as other financial modules like SAP Finance (FI), Controlling (CO), and Profitability Analysis (CO-PA) via SAP Business Technology Platform (SAP BTP), ensuring access to a single and up-to-date source of truth.

The solution transformed how financial leaders and analysts accessed insights. Previously, understanding why certain financial metrics underperformed was a complex, time-consuming process involving multiple manual reports that often required in-depth analysis from modules like SAP Finance (FI), Controlling (CO), and Profitability Analysis (CO-PA).

Now, Joule provides rapid, conversational visibility into key financial metrics, enabling instant access to performance comparisons (actuals vs. plans), detailed variance analysis, and comprehensive reports across various financial dimensions.

Leveraging its integration with SAP Analytics Cloud for insights and contextual visualizations, Joule guides users from an overview to specific problem areas through intuitive, natural language questions, as demonstrated by these examples:

  • Question 1: "Show current profit for the quarter."
Joule's response: "Current profit for the quarter is $12.5 million, which is 8% above target. However, overall profit growth has slowed compared to the previous quarter."

  • Question 2: "Which branches are showing declining operating profit over the last two quarters?"
Joule's response: "Operating profit is declining in New York (-3% for Q1-Q2 2025) and Los Angeles (-2.5% for Q1-Q2 2025). Primary reasons include rising rental costs and a decrease in average transaction value in New York, as well as increased logistics expenses in Los Angeles. A detailed analysis of the cost structure in these branches is recommended."
  • Question 3: "Which expense categories are most frequently over budget in the sales departments?"
Joule's Response: "In sales departments, 'Travel Expenses' (by 18%) and 'Advertising Materials' (by 15%) are most frequently over budget. This trend is seen in 7 of 10 regions. A review of expense policies or stricter controls may be necessary."

This capability enabled a transformative shift from reactive report generation to proactive, data-driven decision-making, actively identifying and resolving bottlenecks before they escalate.

Technology Stack

  • Primary interface & AI assistant: SAP Joule
This acts as the intuitive, conversational interface for financial users. Leveraging AI and Natural Language Processing (NLP), Joule allows executives and analysts to pose complex queries in plain language and instantly receive accurate, consolidated financial data, fundamentally transforming how they interact with the ERP system.
  • Core data source: SAP S/4HANA (Core ERP)
This is the central repository for all primary financial and operational data. Joule's deep integration with S/4HANA ensures all query responses are based on the most current and reliable data, eliminating discrepancies and delays common in manual reporting.
  • Integration & extension platform: SAP Business Technology Platform (SAP BTP)
Serving as a robust cloud foundation, BTP ensures seamless integration between SAP S/4HANA, SAP Joule, and other enterprise systems. It provides the necessary tools for extending ERP functionalities and managing APIs, creating a unified, flexible, and scalable IT environment.
  • Data warehousing & analytics foundation:
    • SAP Datasphere
This crucial component provides the comprehensive data warehousing and modeling capabilities. It aggregates, transforms, and harmonizes financial data from SAP S/4HANA and other potential sources, creating a unified and ready-for-analysis dataset. These analytical scenarios are impossible without Datasphere and SAP Analytics Cloud working in tandem.
    • SAP Analytics Cloud (SAC)
This is where advanced analytics processing and contextual visualizations occur. SAC connects to the data models prepared in SAP Datasphere (or directly to S/4HANA for live data scenarios) to perform complex calculations, generate charts, and provide deeper insights requested through Joule. SAC is the engine that technically processes the analytical queries and generates the insights presented by Joule.
  • Database: SAP HANA Database (embedded within S/4HANA)
As an integral component of SAP S/4HANA, the embedded SAP HANA database provides the high-performance, in-memory processing capabilities. Its unique architecture allows for real-time processing of massive volumes of financial transactions and analytical queries, delivering the speed and responsiveness critical for SAP Joule to deliver instant financial insights by accessing the live S/4HANA data.

Results

The implementation of SAP Joule transformed the client's approach to financial management, delivering the following measurable benefits:

  • 90% reduction in time to obtain financial reports: Reports that previously required hours or days are now available in seconds via voice or text query.
  • Increased accuracy and timeliness of financial data: Instant access to real-time data eliminated risks associated with outdated information.
